Info Text

The Info Text feature allows administrators to create reusable information messages that are displayed or applied in specific business scenarios. In the UI, the Info Text appear in the Notification bar at the top of the sales document page on which the user is currently working.

An Info Text consists of two parts:

  • Info Text Header — Defines when the message is applicable.
  • Info Text Lines — Contains the actual message that will be presented to the user. Multiple lines can be maintained for a single Info Text, allowing longer instructions or notes.

When are Info Texts displayed?

Whenever a sales document is processed, the system searches for applicable Info Texts on:

  • the Sales Header (customer-level information), and
  • the Sales Lines (service, product, or material-specific information).

The system only considers Info Texts that:

  • are Certified,
  • are valid for the current date,
  • are assigned to the current document type (Quote, Order, Invoice, Credit Memo, Blanket Order, or Return Order),
  • match the configured target (Sales Header or Sales Line), and
  • satisfy the configured filter criteria.

How is the correct Info Text selected?

The system compares the current sales document with the filters defined on the Info Text, including:

  • Customer
  • Customer Group
  • Responsibility Center
  • Production Department
  • Service / Service Group
  • Product / Product Group
  • Material / Material Group

The matching behavior is controlled by the configured Search Priority. Depending on this configuration, the system can either require an exact match or also consider more general Info Texts where a filter field has been left blank.

How are messages presented?

When one or more matching Info Texts are found:

  • all text lines belonging to an Info Text are combined into one message,
  • each matching Info Text is shown as a Business Central notification,
  • multiple applicable Info Texts are displayed as separate notifications,
  • notifications remain associated with the current sales document and are recalled when they are no longer applicable.

How-to create an Info Text:

Create an Info Text Header.

  • Define the applicability by setting filters such as customer, products, validity dates, target, and document types.
  • Enter one or more Info Text Lines containing the actual message.
  • Change the status to Certified to activate the Info Text.
  • An Info Text cannot be certified unless at least one text line exists. After certification, it becomes read-only and can no longer be edited unless it is returned to an editable status.

Typical Use Cases

  • Display customer-specific delivery or invoicing instructions.
  • Remind users of special contractual agreements.
  • Show product- or service-specific warnings.
  • Provide production or handling instructions for selected materials.
  • Inform users about special order processing requirements before continuing with the sales process.

Order Conf. Pending Info Text

The Order Confirmation Pending Info Text reminds users that the customer has not yet received an order confirmation. When a Sales Order is opened, the system checks whether the Order Conf. Sent field is No. If so, all applicable and certified Info Texts of type Order Conf. Pending are displayed as Business Central notifications. These messages remain visible until the order confirmation has been sent.

As soon as the Order Conf. Sent field is set to Yes (typically automatically when the order confirmation is emailed), the notifications are removed and are no longer displayed. This ensures that users are only reminded while the order confirmation is still outstanding.

How "Order Conf. Pending" works

The Order Conf. Pending Info Text is shown only for Sales Orders whose order confirmation has not yet been sent.

The Sales Order page contains a Boolean field Order Conf. Sent.. When this field is false, the system searches for all certified Info Texts of type Order Conf. Pending and displays them as notifications.

When is the check performed?

The Info Texts are refreshed automatically whenever:

  • the Sales Order is opened,
  • the current record changes,
  • the Sell-to Customer No. changes,
  • the Order Conf. Sent field changes,
  • the Fill Qty. to Ship function is executed.

Before searching again, any previously displayed notifications are removed so only the currently applicable notifications remain visible.

What happens after the order confirmation is sent?

Once the field Order Conf. Sent becomes true,

  • notifications are recalled,
  • no new notifications of this type are shown.
